Winston Preparatory School seeks a part-time Special Events Assistant to support the work of its Development Department in preparation for its annual fundraising gala on May 2, 2026. The Assistant will report to the Director of Development and support the work of the department in all aspects of the planning activities, including: coordinating solicitations and tracking for ticket sales, journal ads, and auction items; working with the parent planning committee; assisting with table seating and; assisting with all of the logistics of hosting the event – before, during, and the week after the event. The candidate must have excellent written and verbal communication skills and be proactive and organized with excellent attention to detail. Strong computer skills and familiarity with the Google Suite are required. Experience with event planning and familiarity with GiveSmart or other event planning software is a plus. 

Position Responsibilities 
  • Coordinate activities related to the design and production of the Spring Celebration journal
  • Provide administrative support to the Development Department related to the Spring Celebration
  • Create spreadsheets and documents to organize data and plan timelines
  • Prepare acknowledgement letters and other documents as needed
  • Assist with setup and execution of Spring Celebration event on the afternoon/evening of May 2, 2026
  • Assist with pre-event and post-event activities, including: helping to move supplies/auction items/etc. on the day before the event, the night of the event, and the day after the event; producing and sending acknowledgement letters; and more.
  • Assist in other administrative support activities in the Development Department as needed

Minimum Requirements
  • Bachelor's degree preferred
  • 2+ years proven work history in an office or similar environment 
  • Strong oral/written communication skills
  • Ability to work with a team and independently, paying close attention to detail, and managing multiple projects with deadlines
  • Professional, enthusiastic, and motivated
  • Knowledge and experience within a Mac environment

This position is 20 hours a week, beginning in early February and ending May 8, 2026. Full-time hours may be requested for the two weeks before the event on May 2, 2026. Work hours for the day/night of the event will likely extend late into the night, and clean-up activities will take place in the Midtown Manhattan office on the following Monday morning and afternoon, May 4, 2026. This will include moving supplies and other items from the event space storage to the Midtown office (light lifting). The position is primarily remote, but the ability to occasionally commute to the Midtown Manhattan office, sometimes for multiple days in a row, is required. Must have a working internet connection to complete projects and participate in virtual meetings.

Hourly Rate: $20 - $32/hr (commensurate with education and experience)
